Luuma Screens setup guide

Get your first screens live.

Work through the setup from your Screens account to the finished display. Have your content and a connected player device ready.

  1. 1

    Create your account

Choose the plan for your business, then sign up with your name, business and email address. Open your verification email, choose a password and start your card-free 7-day trial. Once it is ready, sign in to your workspace. You can choose a paid plan in Billing later.

You can see your Screens workspace after signing in.

  2. 2

    Add your first location

Open Sites, enter the venue name and select Add site. The first screen is created with the site.

Your site and first screen are listed in your workspace.

  3. 3

    Prepare content and a playlist

Select the screen, then open Playlist & designs. Upload images or videos, or customise a template. Add the content to a playlist, arrange the running order and choose how long each item plays.

Your playlist preview shows the right content in the right order.

  4. 4

    Connect the player

Install a Luuma Player on the screen’s Windows or Android device, or open the browser player. Select Pair screen in the screen pane and enter the code shown on the display.

The screen appears in the right location and reports its connection.

  5. 5

    Publish and check the display

Assign your playlist to the screen or its screen group. Check the physical display for the right orientation, readable text and a complete playback cycle. Test a content change before sharing the display with your team.

The updated content reaches the display and plays as expected.

  6. 6

    Give your team access

Open Users and select Invite user. Give each person the appropriate role. Show them where to update designs and playlists, and how to check screens.

Your team can sign in and find the work they need to do.

Choose a device that suits the venue. Internet is needed to pair a screen, fetch new content and receive live updates.

Setup help

Check the common details.

Can I change menus and offers remotely?
Yes. Open the location in Luuma, edit the design or playlist and publish your change. Connected Windows and Android Players check for updates automatically; delivery time depends on the player, connection and media size. Browser playback needs automatic refresh enabled or a reload to receive changes. Test an update on your chosen player during setup.
How do I connect ICRTouch prices to a menu?
Install and set up OnTill on the ICRTouch device, then link catalogue products to your menu or beer-board design in Luuma. Linked product names and prices sync automatically while connected. After setup, routine design and price updates do not need CSS edits or files copied between tills.
Do I need Dropbox, OneDrive or USB sticks for media?
Upload your images and videos to Luuma and add them to the relevant designs or playlists. Connected players fetch the published content, so you do not need to maintain a separate media folder or copy updates to each device.
Can I reuse a design across locations?
Yes. Reuse templates as a starting point and manage the resulting designs from Luuma. Each template copy is independently editable, so changing the original template does not change every existing design. Playlists and screen groups let you share assigned content across displays.
My screen doesn’t appear online. What should I check?
Check the player is open, the device has an internet connection and the screen was paired to the expected customer location. If the connection still doesn’t appear, contact Luuma with the customer and screen name.
The screen is connected but shows the wrong content.
Check the playlist assigned to the screen or screen group, including any active schedule. Preview the playlist in Luuma, then check the player has received the published update on its configured schedule.
Will the player keep working when the connection drops?
Windows and compatible Android Players can continue with a saved playlist and downloaded supported images or videos after an initial online fetch. Pairing, new content, live data and streaming need internet. Extended outages or cache limits can interrupt playback, so reconnect screens regularly. Use continuous internet for the browser player; it is not a reliable offline-restart option.
Who should I give customer access to?
Start with the people responsible for content and venue updates. Give each person their own account and the appropriate role for the work they need to do.
Can Luuma help with a larger rollout?
Contact us with your customer, location and screen numbers. Include the player hardware you plan to use and anything you would like help checking.
